Background/Job Purpose

The African Capacity Building Foundation is seeking a dedicated Office and Transport Associate to assist the Executive Secretary. The ideal candidate must have a proven track record of safe and reliable driving, outstanding communication skills in both English and Shona, and the ability to accommodate a flexible schedule. This position requires a professional appearance, meticulous attention to detail, and a strong commitment to confidentiality and discretion.

Duties and Responsibilities

  • Drive the Executive Secretary to and from work, official appointments, and trips within Zimbabwe, as well as to various locations such as airports, government ministries, embassies, and other destinations as needed.
  • Ensure timely and safe transportation of executives, adhering to the highest standards of road safety and traffic regulations
  • Meet and receive ACBF delegates/visitors from the airport, facilitate customs and immigration formalities, hotel check-in, and other local formalities as may be required.
  • Deliver mail and documents to embassies and other organizations and collect and post official mail and parcels from the Post office.
  • Submit and monitor visa applications with the Immigration Department.
  • Collect and deliver documents to the Ministry of Foreign Affairs for approval and clearance, keeping records of them.
  • Ensure the executive vehicle is always fueled, clean, well-maintained, and in optimal working condition, including being serviced as needed.
  • Assist with the banking duties of the Foundation (e.g., banking office cash, cheques, and collection of statements).
  • Exhibit a high degree of flexibility to accommodate irregular working hours and last-minute changes to schedules.
  • Keep a neat appearance and uphold high standards of personal hygiene at all times.
  • Always manage sensitive information with discretion and professionalism
  • Photocopy documents for staff members.
  • Assist the Administrative Associate with various office needs, respond to incoming calls as necessary, and place calls for staff members.
  • Any other duty as may be required

Desired Qualifications, Competencies, and Experience

  • A minimum of a secondary school certificate, which includes English language proficiency, a valid driver’s license, and a defensive driving certificate is required. Knowledge of safe driving practices is preferred.
  • Minimum of 10 years of driving experience, with at least 5 years in a similar executive Driver role.
  • Experience working in multicultural/international environments would be an advantage.
  • Fluency in English.
  • Possessing teamwork and client-service orientation skills, along with the ability to develop and maintain effective work relationships.
